Job Summary:
As a Front Desk Receptionist at Scalesforth, you will be the first point of contact for clients, visitors, and staff. This role requires an individual with excellent communication skills, a professional demeanor, and the ability to multitask in a fast-paced environment. You will play a key role in creating a positive first impression for the company and ensuring smooth day-to-day operations of the front desk. Key Responsibilities:
- Greet and welcome visitors, clients, and guests as they arrive at the office.
- Manage phone lines, answer inquiries, and route calls to the appropriate departments.
- Schedule appointments and maintain calendars for office staff and executives.
- Handle incoming and outgoing mail, packages, and deliveries.
- Maintain an organized and professional front desk environment.
- Ensure all visitors and staff sign in and out of the office as required.
- Assist with administrative tasks such as filing, data entry, and document preparation.
- Handle customer service inquiries and resolve issues promptly and professionally.
- Provide general office support including office supplies management and upkeep.
- Monitor office security systems and ensure a safe environment for staff and visitors.
Required Skills and Qualifications:
- High school diploma or equivalent; additional qualification in office administration is a plus.
- Proven experience as a receptionist or in a customer service role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent verbal and written communication skills.
- Strong organizational and time-management abilities.
- Ability to multitask and work under pressure in a fast-paced environment.
- Professional appearance and demeanor.
- Ability to work independently and as part of a team.
- Basic knowledge of office equipment, such as phone systems, fax machines, and photocopiers.
Experience:
- Previous experience as a Front Desk Receptionist or in a similar customer-facing role is preferred.
- Experience with appointment scheduling software and multi-line phone systems is an advantage.
Working Hours:
- Full-time position, Monday to Friday (9:00 AM - 5:00 PM).
- Flexible scheduling may be available depending on the needs of the business.
