Job Summary:
As a Virtual Assistant at American Express, you will play a pivotal role in supporting the operational efficiency of our teams across various departments. Your primary focus will be to provide administrative assistance, manage communications, and ensure that the executives and teams you support can focus on their core responsibilities. This role requires a high level of professionalism, organizational skills, and the ability to work independently in a remote setting. You will be entrusted with sensitive information and will be expected to manage tasks with the utmost confidentiality and discretion.
Key Responsibilities:
- Administrative Support: Provide comprehensive administrative support including managing schedules, organizing meetings, and coordinating travel arrangements for executives and teams.
- Communication Management: Handle inbound and outbound communications, including emails, phone calls, and virtual meetings. Ensure timely responses and appropriate follow-ups.
- Document Management: Create, edit, and maintain documents, presentations, and reports. Ensure all materials are professionally presented and up to date.
- Data Entry and Analysis: Input, organize, and analyze data using various tools and software. Generate reports and insights to support decision-making processes.
- Project Coordination: Assist in coordinating and managing projects, ensuring deadlines are met and tasks are completed efficiently.
- Client Interaction: Serve as a point of contact for clients, managing relationships and ensuring a high level of customer service.
- Task Management: Prioritize and manage multiple tasks simultaneously, ensuring all assignments are completed accurately and on time.
Required Skills and Qualifications:
- Educational Background: A minimum of a High School Diploma or equivalent; a Bachelors degree in Business Administration or a related field is preferred.
- Technical Proficiency: Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with virtual communication tools such as Zoom, Microsoft Teams, and Slack.
- Communication Skills: Excellent verbal and written communication skills, with the ability to interact effectively with colleagues, clients, and senior management.
- Organizational Skills: Exceptional organizational skills, with the ability to manage multiple priorities and tasks in a fast-paced environment.
- Attention to Detail: Strong attention to detail with the ability to produce high-quality work under tight deadlines.
- Time Management: Proven ability to manage time effectively and work independently without direct supervision.
- Confidentiality: Ability to handle sensitive and confidential information with the highest degree of integrity.
Experience:
- Prior Experience: A minimum of 2 years of experience in an administrative or virtual assistant role, preferably within a corporate environment.
- Remote Work Experience: Experience working in a remote or virtual setting is highly desirable.
Working Hours:
- Flexibility: This role requires flexibility in working hours, as it may involve supporting teams in different time zones.
- Standard Hours: The typical work schedule will be Monday to Friday, with standard working hours from 9:00 AM to 5:00 PM (local time).
