Job Summary:
As a Virtual Assistant at American Express, you will play a pivotal role in supporting the operational efficiency of our teams across various departments. Key Responsibilities:

  • Administrative Support: Provide comprehensive administrative support including managing schedules, organizing meetings, and coordinating travel arrangements for executives and teams.
  • Communication Management: Handle inbound and outbound communications, including emails, phone calls, and virtual meetings. Ensure timely responses and appropriate follow-ups.
  • Document Management: Create, edit, and maintain documents, presentations, and reports. Ensure all materials are professionally presented and up to date.
  • Data Entry and Analysis: Input, organize, and analyze data using various tools and software. Generate reports and insights to support decision-making processes.
  • Project Coordination: Assist in coordinating and managing projects, ensuring deadlines are met and tasks are completed efficiently.
  • Client Interaction: Serve as a point of contact for clients, managing relationships and ensuring a high level of customer service.
  • Task Management: Prioritize and manage multiple tasks simultaneously, ensuring all assignments are completed accurately and on time.

Required Skills and Qualifications:

  • Educational Background: A minimum of a High School Diploma or equivalent; a Bachelors degree in Business Administration or a related field is preferred.
  • Technical Proficiency: Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with virtual communication tools such as Zoom, Microsoft Teams, and Slack.
  • Communication Skills: Excellent verbal and written communication skills, with the ability to interact effectively with colleagues, clients, and senior management.
  • Organizational Skills: Exceptional organizational skills, with the ability to manage multiple priorities and tasks in a fast-paced environment.
  • Attention to Detail: Strong attention to detail with the ability to produce high-quality work under tight deadlines.
  • Time Management: Proven ability to manage time effectively and work independently without direct supervision.
  • Confidentiality: Ability to handle sensitive and confidential information with the highest degree of integrity.

Experience:

  • Prior Experience: A minimum of 2 years of experience in an administrative or virtual assistant role, preferably within a corporate environment.
  • Remote Work Experience: Experience working in a remote or virtual setting is highly desirable.

Working Hours:

  • Flexibility: This role requires flexibility in working hours, as it may involve supporting teams in different time zones.
  • Standard Hours: The typical work schedule will be Monday to Friday, with standard working hours from 9:00 AM to 5:00 PM (local time).
