Job Summary

The American Red Cross is seeking a highly organized and proactive Remote Administrative Assistant to provide essential administrative support to our Humanitarian and Corporate Services teams. This role ensures smooth day-to-day operations by managing correspondence, maintaining records, coordinating meetings, and assisting with projects critical to the mission of the Red Cross. Key Responsibilities

  • Manage calendars, schedule appointments, and coordinate virtual meetings for team members and leadership.

  • Prepare, edit, and format documents, presentations, and reports with accuracy and professionalism.

  • Handle incoming emails, phone calls, and inquiries, ensuring timely responses and proper follow-up.

  • Maintain organized electronic and physical records, including confidential documentation.

  • Assist in project coordination, tracking deadlines, and supporting special initiatives within Humanitarian and Corporate Services.

  • Generate reports, maintain databases, and track departmental metrics as needed.

  • Provide support for virtual events, webinars, and internal communications.

  • Collaborate with cross-functional teams to ensure smooth operational workflows.

  • Support onboarding of new team members by assisting with administrative and logistical tasks.


Required Skills and Qualifications

  • Proven experience as an administrative assistant, office manager, or similar role.

  • Excellent written and verbal communication skills in English.

  • Strong organizational skills with the ability to prioritize tasks effectively.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and collaboration tools (e.g., Teams, Zoom, Google Workspace).

  • Ability to handle confidential information with discretion and professionalism.

  • Comfortable working independently in a remote environment while maintaining effective team communication.


Experience

  • Minimum of 2 years of administrative support experience, preferably in a non-profit, corporate, or humanitarian organization.

  • Experience supporting multiple teams or departments simultaneously is highly desirable.


Working Hours

  • Full-time, remote role.

  • Typical hours: Monday to Friday, 9:00 AM – 5:00 PM (flexibility may be required to support cross-time-zone collaboration).
