Job Summary

SysTechCare Support is seeking a detail-oriented and enthusiastic Event Coordinator Assistant to support the planning and execution of corporate, virtual, and client-based events. This role is ideal for individuals who thrive in fast-paced environments, love organizing logistics, and enjoy working behind the scenes to create smooth, successful events. You will work closely with the Event Coordinator and cross-functional teams to ensure each event meets business objectives while offering an engaging experience for participants.


Key Responsibilities

  • Assist in the end-to-end planning, coordination, and execution of internal and external events.

  • Support in venue selection, vendor communication, and event setup logistics.

  • Handle scheduling, attendee registration, and database updates.

  • Coordinate virtual event platforms (e.g., Zoom, Teams, Webex) and provide live support during sessions.

  • Prepare and organize event materials, signage, name tags, and promotional items.

  • Communicate with attendees before, during, and after events to ensure a seamless experience.

  • Maintain accurate records of budgets, timelines, and reports post-event.

  • Troubleshoot on-site or virtual issues during the event and provide immediate support.

  • Assist with social media updates, event promotion, and email marketing when required.


Required Skills and Qualifications

  • Bachelors degree (or pursuing) in Event Management, Marketing, Communications, Hospitality, or related field.

  • Excellent verbal and written communication skills.

  • Strong organizational and multitasking abilities.

  • Basic knowledge of MS Office Suite (Excel, Word, PowerPoint) and/or Google Workspace.

  • Ability to work under pressure and meet deadlines.

  • A collaborative attitude and willingness to take initiative.


Experience

  • 0–2 years of experience in event coordination, administrative support, or related roles.

  • Internship or volunteer experience in event planning is a plus.

  • Fresh graduates with strong organizational skills and a passion for event management are encouraged to apply.


Working Hours

  • Flexible schedule with core availability required during business hours.

  • May require occasional evening or weekend work during live events.

  • 20–40 hours/week depending on workload and event calendar.


Knowledge, Skills, and Abilities

  • Familiarity with event management tools (Eventbrite, Cvent, etc.) is a plus.

  • Knowledge of social media platforms for event promotion.

  • Time management and proactive problem-solving abilities.

  • High attention to detail and customer service orientation.

  • Ability to manage multiple projects simultaneously with minimal supervision.
