Job Summary:

We are seeking a highly motivated and detail-oriented HR Payroll Specialist to join our remote team. As an HR Payroll Specialist, you will be responsible for managing the end-to-end payroll process for our employees across various states in the USA. The ideal candidate will have a strong understanding of payroll systems, compliance, and HR policies, ensuring accurate and timely processing of payroll for all employees.


Key Responsibilities:

  • Process bi-weekly, monthly, or other payroll cycles for all employees in a timely and accurate manner.
  • Ensure payroll compliance with federal, state, and local tax laws, and regulations.
  • Maintain employee records related to payroll, including deductions, benefits, and bonuses.
  • Work closely with HR and finance teams to resolve payroll discrepancies and inquiries.
  • Calculate overtime, commissions, and bonuses according to company policies.
  • Administer benefits, including health, dental, and retirement plans, and process payroll deductions.
  • Prepare and file required payroll reports, tax filings, and year-end forms, such as W-2s and 1099s.
  • Assist in the development and improvement of payroll policies and procedures.
  • Respond to employee payroll-related questions and resolve issues promptly.
  • Stay updated with changes in payroll laws, tax regulations, and HR best practices.

Required Skills and Qualifications:

  • Proven experience as a Payroll Specialist or similar HR-related role, preferably in a remote setting.
  • In-depth knowledge of payroll software and systems (e.g., ADP, Paychex, QuickBooks).
  • Familiarity with federal and state labor laws and tax regulations.
  • Strong analytical and problem-solving skills.
  • Excellent communication and interpersonal skills, with the ability to interact effectively with employees at all levels.
  • High attention to detail and organizational skills.
  • Ability to manage sensitive information with discretion and professionalism.
  • Proficiency in Microsoft Office Suite (Excel, Word, etc.).
  • Ability to work independently and manage time effectively in a remote work environment.

Experience:

  • At least 2-3 years of experience in payroll processing or HR administration.
  • Experience with multi-state payroll processing is highly desirable.
  • Experience working in a remote or virtual team is a plus.

Working Hours:

  • This is a full-time, remote position with flexible working hours.
  • The ideal candidate will be expected to work 40 hours per week, Monday through Friday.
  • Occasional overtime may be required during peak payroll periods.

  • Knowledge of payroll best practices and compliance with applicable laws.
  • Strong numerical aptitude and understanding of payroll-related calculations.
