Key Responsibilities:
- Answer phone calls, take messages, and route correspondence to the appropriate department.
- Maintain office files, records, and databases, ensuring they are organized and up to date.
- Assist with scheduling appointments, meetings, and travel arrangements.
- Perform data entry tasks and ensure accurate record-keeping of office transactions.
- Greet visitors and provide them with a positive and professional experience.
- Handle office supplies inventory and reorder when necessary.
- Coordinate with team members to prepare reports, presentations, and other documents.
- Support the HR department with basic administrative tasks as needed.
- Assist in organizing office events, meetings, and conferences.
- Provide general administrative support to senior management and office staff.
Required Skills and Qualifications:
- High school diploma or equivalent; additional education or certifications in office management or administration is a plus.
- Proven experience in office administration, clerical support, or related roles.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong organizational and multitasking skills with attention to detail.
- Excellent verbal and written communication skills.
- Ability to handle sensitive information with confidentiality.
- A proactive and positive attitude with the ability to work independently as well as part of a team.
- Time-management skills and the ability to prioritize tasks effectively.
Experience:
- A minimum of 1-2 years of experience in an office assistant or administrative role.
- Previous experience in a customer service or administrative support role is preferred but not required.
- Familiarity with office equipment such as printers, scanners, and fax machines is an asset.
Working Hours:
- Full-time position: Monday to Friday, 9:00 AM - 6:00 PM.
- Flexibility required based on office needs.
