Job Summary:

Houston Skilled Consultancy is seeking a highly organized and proactive Office Support Administrator to join our dynamic team. This position plays a critical role in ensuring the smooth operation of our office by providing administrative support to senior staff and contributing to the overall efficiency of office management. The ideal candidate will have a strong attention to detail, excellent communication skills, and the ability to multitask in a fast-paced environment.


Key Responsibilities:

  • Manage and oversee daily office operations to ensure a seamless workflow.
  • Coordinate and schedule appointments, meetings, and travel arrangements for team members.
  • Handle incoming and outgoing correspondence, including phone calls, emails, and postal mail.
  • Maintain office supplies inventory and place orders as needed.
  • Prepare and organize office documents, reports, and presentations.
  • Assist in the preparation and processing of administrative paperwork and filing systems.
  • Provide customer service to clients, visitors, and employees as the first point of contact.
  • Support senior management with special projects and administrative tasks as required.
  • Collaborate with other departments to ensure cross-functional alignment.
  • Assist in coordinating office events, team-building activities, and other initiatives.

Required Skills and Qualifications:

  • Proven experience as an office administrator or in a similar administrative role.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent verbal and written communication skills.
  • Ability to manage multiple tasks and prioritize effectively.
  • High level of organization and attention to detail.
  • Strong interpersonal skills and the ability to work well with a variety of stakeholders.
  • Discretion and confidentiality in handling sensitive information.

Experience:

  • Minimum of 2 years of experience in an office administration role or related field.
  • Previous experience working in a fast-paced environment with competing deadlines.
  • Experience with office management tools and software is a plus.

Working Hours:

  • Full-time position.
  • Standard working hours are Monday to Friday, from 9:00 AM to 5:00 PM.
  • Occasional overtime may be required during peak periods.
