Key Responsibilities

  • Administrative Support: Manage daily operations for the Global Markets Europe team, including scheduling meetings, handling correspondence, and maintaining records.
  • Calendar Management: Coordinate and prioritize schedules for team members, arranging meetings across time zones.
  • Travel Arrangements: Organize international and domestic travel, including booking flights, accommodations, and preparing itineraries.
  • Documentation: Prepare, proofread, and format documents, reports, and presentations.
  • Communication: Act as a point of contact for internal and external stakeholders, maintaining professionalism in all interactions.
  • Expense Management: Process and track team expense reports, ensuring timely reimbursements.
  • Event Coordination: Assist in planning and organizing team events, training sessions, and conferences.
  • Office Management: Ensure office supplies are stocked and manage vendor relationships as needed.

Required Skills and Qualifications

  • Education: Bachelors degree in Business Administration, Communications, or a related field (preferred).
  • Experience: Minimum of 2 years in an administrative or executive assistant role, preferably within a financial or corporate environment.
  • Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Familiarity with scheduling tools and CRM software is a plus.
  • Organizational Skills: Exceptional multitasking abilities with a keen eye for detail.
  • Communication: Strong written and verbal communication skills with a professional demeanor.
  • Problem-Solving: Ability to anticipate needs and propose solutions proactively.
  • Confidentiality: Demonstrated ability to handle sensitive information with discretion.

Experience

  • Proven track record in administrative or assistant roles supporting senior management teams.

Working Hours

  • Standard office hours: Monday to Friday, 9:00 AM – 5:30 PM (some flexibility required based on team needs).
  • Hybrid working arrangements available upon discussion.
