Key Responsibilities:

  • Administrative Support: Provide high-level administrative assistance to executives, teams, and departments, including managing calendars, scheduling meetings, and coordinating travel arrangements.
  • Communication Management: Handle emails, phone calls, and correspondence, ensuring timely and accurate responses, and managing prioritization of requests.
  • Data Management: Assist with the preparation and maintenance of reports, presentations, and documentation. Ensure accurate data entry and manage records in a secure and organized manner.
  • Task Coordination: Support project management by coordinating meetings, tracking deliverables, and ensuring timelines are met.
  • Research & Reporting: Conduct research on various business topics as required, compiling data into clear reports and presenting findings in a concise manner.
  • Customer Service: Provide support to internal stakeholders and external clients as needed, ensuring professional communication and customer satisfaction.
  • Process Improvement: Collaborate with teams to identify opportunities for process optimization and contribute to the implementation of more efficient workflows.

Required Skills and Qualifications:

  • Excellent Communication Skills: Exceptional verbal and written communication skills, with the ability to communicate effectively across all levels of the organization.
  • Proven Organizational Abilities: Strong attention to detail, excellent time management skills, and the ability to prioritize tasks efficiently.
  • Technical Proficiency: Proficient in using Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace; familiarity with project management tools (e.g., Trello, Asana) is a plus.
  • Self-Motivated: Ability to work independently with minimal supervision in a fast-paced, remote environment.

Experience:

  • Background in financial services or tech-based industries is a plus but not mandatory.
  • Experience working in remote teams and with virtual tools and platforms is an asset.

Working Hours:

  • This is a flexible, remote position with both part-time and full-time options available.
  • Standard working hours for full-time positions are typically Monday to Friday, 9:00 AM to 5:00 PM (EST), with the possibility of some evening or weekend work as needed.
  • Part-time positions will offer flexibility in hours, with a minimum commitment of 20 hours per week.
  • Candidates from different time zones are encouraged to apply, but candidates must be able to overlap with at least 4 hours of Eastern Standard Time (EST).
