Job Summary:

Progressive Technology is seeking a highly organized and proactive Virtual Executive Assistant to provide remote administrative support to senior executives. The successful candidate will be responsible for streamlining executive schedules, handling correspondence, and ensuring smooth day-to-day operations of the executive office. This is a remote, full-time position that requires a high level of professionalism, discretion, and exceptional communication skills.


Key Responsibilities:

  • Calendar Management: Efficiently manage and prioritize the executives calendar, including scheduling meetings, appointments, and travel arrangements.
  • Communication Handling: Serve as the primary point of contact for both internal and external communications. This includes screening emails, phone calls, and other inquiries, ensuring timely responses.
  • Document Preparation: Prepare and review documents, presentations, reports, and other materials as needed. Ensure all documents are accurate and delivered on time.
  • Travel Coordination: Arrange travel itineraries, including flights, accommodations, and transportation. Ensure all logistics align with the executives preferences and schedule.
  • Project Assistance: Assist in coordinating and executing key projects, ensuring deadlines are met and stakeholders are kept informed.
  • Confidentiality Management: Handle confidential and sensitive information with the utmost discretion and integrity.
  • Task Management: Oversee day-to-day administrative tasks, including filing, record-keeping, and maintaining a well-organized digital filing system.

Required Skills and Qualifications:

  • Education: A bachelors degree in business administration, communications, or a related field.
  • Experience: Minimum of 2 years of experience as an executive assistant, administrative assistant, or similar role. Previous remote work experience is a plus.
  • Technical Skills: Proficiency in MS Office Suite (Word, Excel, PowerPoint), Google Workspace, and familiarity with remote collaboration tools (Slack, Zoom, Trello, etc.).
  • Communication Skills: Excellent written and verbal communication skills, with the ability to interact effectively with senior executives and clients.

Experience:

  • 2+ years of experience in a similar role providing executive-level administrative support.
  • Proven track record of managing complex calendars and multitasking in fast-paced environments.
  • Experience handling confidential information and maintaining discretion.
  • Familiarity with remote working practices and tools.

Working Hours:

  • This is a full-time, remote position.
  • Working hours are flexible, but availability during standard business hours (9 AM - 6 PM, Monday to Friday) is required.
  • Some evening or weekend work may be needed depending on the executives schedule.
