Job Summary

Key Responsibilities

  • Greet and welcome visitors in a professional and friendly manner, ensuring a positive experience.
  • Manage phone calls, direct them to the appropriate departments, and take accurate messages when necessary.
  • Maintain the front desk area, ensuring it is clean, organized, and presentable.
  • Coordinate scheduling for meetings and appointments, ensuring all relevant parties are informed.
  • Handle incoming and outgoing mail and packages, ensuring they are directed to the right recipient.
  • Assist in managing office supplies, placing orders as needed to ensure stock levels are maintained.
  • Provide general administrative support, including filing, data entry, and document management.
  • Support other departments with administrative tasks, as required.
  • Maintain confidentiality of sensitive information and assist in handling inquiries with professionalism.

Required Skills and Qualifications

  • High school diploma or equivalent required; additional certifications in office management or administrative roles are a plus.
  • Proven experience in a front office, receptionist, or administrative role is an advantage.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong communication skills, both written and verbal.
  • Ability to multitask and prioritize tasks in a fast-paced environment.
  • Excellent organizational and time-management skills.
  • Friendly, approachable demeanor with a professional attitude.
  • Ability to maintain confidentiality and handle sensitive information.

Experience

  • At least 1-2 years of experience in a customer-facing role, preferably in an administrative or front office position.
  • Experience with office equipment such as telephones, photocopiers, fax machines, and computers.
  • Experience in scheduling meetings, handling office supplies, and providing general office assistance is preferred.

Working Hours

  • Full-time position, 40 hours per week.
  • Regular office hours: Monday to Friday, 9:00 AM to 5:00 PM. Flexibility to occasionally assist with evening or weekend events may be required.
