Job Summary:

Key Responsibilities:
- Administrative Support: Provide high-level administrative support to executives and departments, including calendar management, appointment scheduling, and travel arrangements.
- Communication: Serve as a liaison for internal and external communication, responding to emails, phone calls, and inquiries on behalf of executives and teams.
- Document Management: Create, organize, and maintain files, documents, and presentations to ensure easy access and accurate record-keeping.
- Scheduling: Coordinate meetings, virtual conferences, and other events, ensuring all logistics are handled effectively.
- Task Management: Monitor and follow up on ongoing tasks and projects, ensuring deadlines are met and key deliverables are completed on time.
- Customer Service: Assist in managing client communications and inquiries, ensuring prompt and professional responses.
- Problem-Solving: Address and resolve administrative issues, suggesting improvements to enhance efficiency and productivity.
- Technology Utilization: Leverage various software tools and platforms (e.g., Microsoft Office Suite, Google Workspace, CRM systems) to streamline operations and support business goals.
- Confidentiality & Discretion: Handle sensitive information with the utmost confidentiality and professionalism.
Required Skills and Qualifications:
- Exceptional Communication Skills: Both written and verbal communication should be clear, professional, and effective, with the ability to communicate across all levels of the organization.
- Organizational Abilities: Strong attention to detail with excellent organizational skills to prioritize and manage multiple tasks effectively.
- Tech-Savvy: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and familiarity with various virtual communication and project management tools (Zoom, Slack, Trello, etc.).
- Time Management: Proven ability to manage time efficiently and meet deadlines in a fast-paced environment.
- Problem-Solving Skills: Ability to anticipate needs, address challenges proactively, and think on your feet.
- Adaptability: Comfortable working in a remote setting and adjusting to changing priorities as needed.

Experience:
- Experience Required: Minimum of 3 years of experience in an administrative support role, preferably in a remote work environment. Experience in customer service or executive assistance is highly desirable.
- Industry Experience: Previous experience in finance, banking, or technology sectors is a plus, though not mandatory.
Working Hours:
- Full-time, 40 hours per week.
- Flexible work hours, with the expectation that employees will be available during core business hours (9 AM to 5 PM EST), with occasional adjustments depending on team needs and time zone differences.

- Project Management: Basic knowledge of project management processes to track deliverables and timelines.
- Technological Proficiency: Familiarity with CRM software, virtual collaboration tools, and basic data entry or spreadsheet management.
