Job Summary:
We are seeking a dynamic and professional Front Office Executive to be the first point of contact for visitors and clients. This role is ideal for someone who is organized, detail-oriented, and enjoys managing administrative tasks while providing excellent customer service. The Front Office Executive will play a key role in ensuring smooth office operations and creating a welcoming environment for guests, visitors, and employees.
Key Responsibilities:
- Greet and welcome visitors, ensuring a friendly and professional experience.
- Answer and direct phone calls in a polite and efficient manner.
- Handle all front-office duties, including managing the reception area, handling incoming and outgoing mail, and maintaining office supplies.
- Schedule and coordinate meetings and appointments for staff and management.
- Ensure the front desk area is clean, organized, and well-maintained.
- Provide administrative support such as preparing documents, reports, and correspondence.
- Maintain and update client records, visitor logs, and office filing systems.
- Assist with basic HR tasks, including managing employee attendance and preparing onboarding materials.
- Manage office security protocols, including ensuring access control and visitor registration.
- Collaborate with other departments to ensure smooth communication and operation.
Required Skills and Qualifications:
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Ability to work well under pressure and handle stressful situations with professionalism.

Experience:

Working Hours:
- Full-time position: 9:00 AM to 6:00 PM, Monday to Friday.
- Occasional weekend work may be required for special events or urgent tasks.
