Job Summary:
We are seeking a dynamic and highly organized individual to join our team as a Front Desk Executive cum Office Assistant at HR Service Jobs. In this dual-role position, you will be responsible for managing the front desk and ensuring smooth office operations. You will be the first point of contact for clients and visitors, offering exceptional customer service while assisting with various administrative tasks. Key Responsibilities:
- Greet and welcome visitors, clients, and employees in a professional and friendly manner.
- Handle all incoming calls, emails, and inquiries, ensuring timely responses and proper routing.
- Maintain and manage the office calendar, including scheduling appointments, meetings, and conference rooms.
- Oversee office supplies, ensuring that inventory is up to date and replenished as needed.
- Perform general administrative duties such as data entry, filing, photocopying, and scanning documents.
- Assist with organizing events, meetings, and company-wide functions.
- Coordinate with internal teams to ensure smooth operations and effective communication.
- Maintain a clean, organized, and safe front desk and office area.
- Manage office correspondence and ensure that all mail and packages are distributed appropriately.
- Handle customer service requests and resolve any issues in a professional and timely manner.
Required Skills and Qualifications:
- Proven experience as a Front Desk Executive, Office Assistant, or in a similar administrative role.
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to handle sensitive and confidential information with discretion.
- Exceptional customer service and interpersonal skills.
- Detail-oriented with the ability to maintain a high level of accuracy in all tasks.
- Proactive, reliable, and a team player with a positive attitude.
Experience:
- A minimum of 1-2 years of experience in front desk or administrative roles is preferred.
- Experience in handling office supplies, scheduling, and customer-facing roles is an asset.
Working Hours:
- Full-time position, Monday to Friday.
- Standard office hours, 9:00 AM to 6:00 PM, with occasional flexibility based on office needs.
