Job Summary
MapleLeaf Admins is seeking a highly organized and proactive Office Administrator to join our growing team. The ideal candidate will play a critical role in ensuring the smooth functioning of our office operations, supporting staff, and maintaining a productive work environment. Key Responsibilities
- Manage day-to-day office operations, ensuring efficiency and productivity.
- Oversee administrative processes, including scheduling, filing, correspondence, and data entry.
- Support HR functions such as onboarding, maintaining employee records, and assisting with payroll preparation.
- Coordinate office supplies, equipment maintenance, and vendor relationships.
- Organize meetings, events, and travel arrangements for team members.
- Serve as the point of contact for internal and external inquiries, providing courteous and professional responses.
- Prepare reports, presentations, and documents as required by management.
- Assist with budgeting and expense tracking to ensure proper allocation of resources.
- Implement and maintain office policies, procedures, and workflows to enhance operational efficiency.
- Uphold confidentiality and data security in handling sensitive information.
Required Skills and Qualifications
- Bachelor’s degree in Business Administration, Office Management, or related field preferred.
- Proven experience in office administration, preferably in a corporate or professional setting.
- Excellent written and verbal communication skills.
- Strong organizational and multitasking abilities.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to handle confidential information with integrity.
- Problem-solving mindset with attention to detail.
- Customer-service orientation and interpersonal skills.
- Basic understanding of budgeting, accounting, and reporting.
- Adaptability to changing work environments and priorities.
Experience
- Minimum of 2 to 4 years of experience in office administration or a related role.
- Experience in handling HR processes, scheduling, and vendor management is highly desirable.
- Prior experience in managing office resources and facilities is a plus.
Working Hours
- Full-time position – Monday to Friday, 9:00 AM to 6:00 PM.
- Occasional extended hours may be required based on project deadlines or special events.
- Work-from-office role with flexibility for hybrid arrangements upon management approval.
