Key Responsibilities
- Manage and organize email inboxes to ensure timely responses and maintain smooth communication flow.
- Prioritize incoming messages, flag urgent items, and archive or delete unnecessary emails.
- Draft, proofread, and send professional correspondence on behalf of executives or team members.
- Implement efficient labeling, filtering, and folder systems to keep inboxes organized.
- Use tools such as Gmail filters, Outlook rules, or CRM integrations to automate and optimize workflow.
- Coordinate email follow-ups, reminders, and scheduling as required.
- Maintain confidentiality and discretion while handling sensitive company information.
- Monitor communication patterns to identify areas for improvement or automation.
- Provide weekly reports summarizing inbox statistics, response times, and productivity trends.
- Collaborate with internal departments to ensure prompt attention to important messages.
Required Skills and Qualifications
- Bachelor’s degree in Business Administration, Communication, or related field preferred.
- Proven experience in email and inbox management, virtual assistance, or administrative support roles.
- Excellent written and verbal communication skills with a professional tone.
- Strong organizational skills and keen attention to detail.
- Proficiency with email platforms (Gmail, Outlook, etc.) and productivity tools like Trello, Asana, or Slack.
- Knowledge of automation and filtering tools to manage large email volumes efficiently.
- Ability to handle multiple accounts and maintain accuracy under pressure.
- High degree of integrity and commitment to confidentiality.
Experience
- Minimum: 2–3 years of experience in remote administrative or communication management roles.
- Preferred: Experience supporting executives or managing high-volume email systems for corporate teams.
Working Hours
- Flexible remote schedule based on business needs.
- Must be available during core business hours (9:00 AM – 5:00 PM EST or equivalent time zone).
- Occasional availability for urgent email monitoring outside regular hours may be required.
