Job Summary
HubSpot is looking for a highly organized and detail-oriented Remote Administrative Coordinator to support our global teams with day-to-day administrative operations. The ideal candidate will play a crucial role in ensuring the smooth execution of internal processes, assisting with scheduling, communication, document management, and other administrative tasks. Key Responsibilities
- Provide administrative support to multiple departments and senior leaders within HubSpot.
- Manage calendars, coordinate virtual meetings, and handle travel arrangements (where applicable).
- Maintain and organize digital files, records, and databases with a high level of accuracy.
- Prepare reports, presentations, and correspondence on behalf of management.
- Track project timelines, deadlines, and deliverables to ensure operational efficiency.
- Handle internal communications and assist in coordinating virtual team events.
- Support onboarding and offboarding processes for new employees or contractors.
- Collaborate with cross-functional teams to improve administrative workflows.
- Ensure confidentiality and compliance with company policies and data protection standards.
Required Skills and Qualifications
- Bachelor’s degree in Business Administration, Management, or a related field (or equivalent work experience).
- Proven experience as an administrative coordinator, executive assistant, or similar role.
- Strong proficiency in Microsoft Office Suite and Google Workspace (Docs, Sheets, Slides, Calendar).
- Excellent written and verbal communication skills.
- Exceptional organizational and time-management abilities.
- High attention to detail and accuracy.
- Ability to handle multiple tasks and prioritize effectively in a remote work environment.
- Strong interpersonal skills and a professional demeanor.
Experience
- Minimum of 2–4 years of administrative or coordination experience, preferably in a technology or SaaS-based organization.
- Prior experience working remotely with distributed teams is highly desirable.
Working Hours
- Flexible working hours with availability to collaborate across multiple time zones (EST preferred).
- Full-time, remote position with opportunities for hybrid collaboration when needed.
Knowledge, Skills, and Abilities
- Deep understanding of remote work tools such as Slack, Zoom, Trello, and Asana.
- Knowledge of office management systems and procedures.
- Ability to maintain discretion when handling confidential information.
- Strong problem-solving skills with a proactive and solution-oriented mindset.
